JOB DESCRIPTION

Job Title – Business Support Assistant-Client Operations (1 Position)
Location – MOMBASA, KENYA
Department – Finance & Administration
Reports to – Head of Technical and Operations

What it entails?

The incumbent will be responsible for executing a broad variety of routine tasks and some specialized for the respective section; requiring thorough knowledge of client operations and administrative procedures, processes as well as policies. The Business Support Assistant is accountable for among others specialized communications, operational and administrative support services

Job Duties:

  • Undertake day-to-day coordination of survey activities promptly, keeping our varied clientele updated on the ongoing operations.
  • Maintain awareness of security protocols, including monitoring access to the office and reporting any suspicious activities to the appropriate authorities.
  • Attend and identify action points during meetings and follow up with the concerned parties to ensure that necessary action is taken and closure is achieved.
  • Maintain an effective record and filing system for all completed and invoiced files, correspondences, reports, and other documents for quick and easy reference.
  • Provide support in the preparation and updating of survey reports for onward sharing with clients.
  • Track all files in progress and ensure that all issues/challenges faced are directed to the appropriate person for clarification.
  • Monitor office supplies and research/recommend service providers.
  • Keep the office premises clean and organized, including common areas, meeting rooms, restrooms, and kitchen spaces.
  • Develop individual performance metrics and drive commitment to maintaining outstanding performance.
  • Actively contribute towards the achievement of company business objectives.
  • Always comply with applicable safety rules and operational procedures.
  • Network, identify, explore, and facilitate opportunities for business growth.

Job Requirement:

  • Minimum of a Diploma/Bachelor’s degree in any of the following areas: Business Administration, Logistics, Clearing and Forwarding, Marine Cargo Inspection, with two (2) years of progressive experience, preferably in an office environment.
  • Good communication skills with excellent report writing abilities (both written and verbal).
  • Demonstrated success at prioritizing and effectively managing time, as well as being flexible and adaptable to changing priorities.
  • Ability to work in a team environment with minimal supervision.
  • Demonstrated understanding of social/cultural issues; fluency in Swahili and English languages (both spoken and written).
  • Ability to prioritize, direct, and complete work in a highly pressurized environment with significant attention to detail.
  • Thorough, observant, and attentive to detail, with the ability to develop strong relationships both internally and externally.
